Meeting Minutes

Attendance: (19) members

 

Meeting of the General Membership was held and the meeting was called to order at 1pm by Chad.

 

It was agreed upon by the membership to forgo the reading of the January 2025 meeting minutes and let stand as sent out via email.

 

Treasurer’s Report – Finance officer, Sara read the report for January/February and reported:

 

Combined totals: Expended: (-0.00); total income (+$100.00)

 

Current balance of all accounts $48,032.41

A motion was made to accept the finance report:

Old Business

  1. Membership Cards/Dues 2025-  Dennis Herman made a motion to the membership to increase the annual dues to $20 as of Sept 1st, 2025 and to dissolve the Lifetime membership.  In discussion, all current Lifetime members, and any new Lifetime members gained through August 31st, 2025 will be grandfathered under this change.   Currently, we have 127 Lifetime members and 50 Annual members.

A motion was made to increase annual dues to $20/year and dissolve Lifetime membership starting Sept 1st, 2025:

  1. Map Updates & Distribution- A group effort in discussions with RC& D in Postville on services to take over the updating of our online mapping and the design and printing of our Maps due to lack of a member stepping up to volunteer.

 

There were two quotes given to the club:

#1:  $4500:  A basic update with roads & sponsors under our login in Scribbles ( our current system) and 4k Map printed

#2:  $6500:  A new mapping system that they use (like the system they use for other organizations such as Chambers of Commerce and some local snowmobile clubs) and 4k Maps printed.

 

In discussion we agreed that we liked the interactive side of our Scribbles on our site, but did not know if it was necessary.  It was also outlined by Linda Herman that our last print was for a 2-year plan and was a total of 3k maps to cover.

Our current subscription with Scribbles expires at the beginning of May.

A group motion to retain Scribbles for 1-year at a cost of $165 reimbursed to Don & Linda Herman while we work out the final details; in addition to approve quote #2 in order to have the Map portion maintenance free from the club in the future along with the Map printing.

  1. Club Gear / Online Sales Updates –A new shirt design is in the works.  Hats are for sale.  Support the club!
  2. Trailer Maintenance –Dennis Herman reported that the Trailer was dropped off at Clark’s Tire for the previously approved Tire replacement and checks to brakes and bearings.  It was going to be pulled in the Waukon St Patty’s Day parade before work started.
     
  3. 2024 Landowner appreciation gifts- Krystal reported that all the landowners received their gifts.  She was notified that Rick Welper reached back out and asked to donate his gas gift card to a club ride/fundraiser.  They identified a ride for a family raising funds for an ill child and the club will also give a donation in addition to Rick’s donation of his card.  Thank you, Welpers!

 

 

New Business

 

  1. Clayton & Winneshiek County Clubs- With Decorah lifting their road bans, a few residents are working on standing up a Winneshiek County Club.  Our Pres and VP have had beginning discussions with both Clayton and Winneshiek on having some joint ventures in the future to have a Tri-County unity that can be advantageous for the UTV/ATV community.
  2. Good Social and Media etiquette for the club As we all have seen, people have found a voice online that they don’t always have when sitting in a room.  Because of this, sometimes things are said that have brought negative light to the UTV/ATV community- not necessarily our club- but still the same, can be perceived as such.We ask that if you come across any type of slander, don’t engage as a club member.  Be respectful and if you wish to respond, do so with knowledge.  We ask that if it includes the Club’s name, that you notify Chad or Krystal so they can navigate the situation.
  3. Spring Clean- up /Adopt A Highway Plan-  April 5th (Rain Date April 12)
    First off-  there will be a ‘Thank you’ Pizza get-together at the Spillway, Harpers Ferry @ 3pm

Second-  This is being split up into 2-different clean-ups.

  1. a)As in the past, Clark’s Tire has graciously donated a dumpster for both weekends.  No aluminum cans.  There will be a Metal Only Trailer next to the dumpster and a pile for Tires found.  Dennis Herman will be on the ready to drive around and pick up your haul if needed.  You can also drop off yourselves. Trash bags are also available.  Start time is at any time you desire.  Location, anywhere in the county you want, we just ask that it is on a roadway that is accessed by UTV/ATVs.  Wear club gear and safety gear.  If you have your rigs or trucks out- please use your hazards and do not block traffic.
  2. b)Our Adopt-A-Highway 3-mile (both sides)stretch.   Meet up at 9am at the Harpers Ferry Ball Diamond for the mandatory Safety Brief.  We will need to limit vehicles on the road so we will carpool out and drop off.  We have the state bags, grabbers and safety vests.  Volunteers:  Please sign-ups for the Adopt-A-Highway portion only by messaging on FB or emailing:  allamakeeatvutvclub@gmail.com  This is to help plan logistics and is appreciated!

 

  1. Propose 03 May 2025 Club Meeting and Larsen’s UTV Park- It is that time again!  Krystal presented to the membership for approval to hold our spring May 2025 Meeting for the club on 03 May at 10am -Larsen’s UTV Park, Wauzeka WI.  This is a great membership drive event!  If you have a non-member riding with you (e.g. a buddy, a neighbor, the dog next door – ha) they must pay for a membership. They will not be covered under your membership for our club insurance.  Krystal presented to the club that in addition to paying for a porta potty- that we make a cash donation instead of relying on passing the hat to the riders as a perk for being a member.

Additional Items
1.  Iron Hill Powersports will be hosting their annual ride on May 18th and asked the club for assistance in route guidance. If you would like to volunteer, please message via FB or email.   Sign-in at 10:30am; Volunteers will be prior placed and then can fall in once the ride passes.  Funds raised for the Allamakee County Child Care Coalition.

 

  1. Member- One of our members lost their daughter recently.  They have been a huge part of the club and the community.  The club sent a card of condolence.
